Scopilot collects information directly from you when you use the scoping form or create a contractor account. The types of information we collect include:

From Homeowners (Project Scoping Form)

• Contact information: Name, email address, and phone number.
• Property address: Street address, city, state, and ZIP code.
• GPS coordinates: Latitude and longitude of the project area, captured via the satellite map tool.
• Project details: Project type, square footage (calculated from the drawn area), trade-specific questionnaire responses, and ballpark estimate range.
• Photos: Up to 6 images uploaded by the homeowner to document the project site.
• Technical data: IP address, user agent, referrer URL, and session identifier collected automatically.

From Contractors (Account Registration)

• Business information: Business name, owner name, email address, phone number, trade type, service area, and password hash.
• Account data: Unique contractor slug, account creation date, subscription status, and lead activity history.

2. How We Use Your Information

We use the information we collect to:

• Match homeowners with contractors based on trade type and geographic proximity.
• Deliver lead notifications (email and dashboard) to contractors with full project details.
• Format and send branded email notifications containing project briefs, satellite imagery, photos, and contact info.
• Provide the contractor dashboard for lead management (accept, contact, quote, win/loss tracking).
• Maintain account records and process authentication.
• Understand platform usage and aggregate traffic analytics (via the Polsia analytics platform).
• Comply with legal obligations and enforce our Terms of Service.

3. Data Sharing

Homeowner → Contractor: When a homeowner submits a scoping request, their contact information, property address, project details, and uploaded photos are transmitted to the matched contractor via email and the contractor dashboard. This data is provided for quote purposes only.

We do not sell, rent, or trade your personal information to any third party. We do not share your data with advertisers, data brokers, or marketing platforms.

Service providers: We use third-party services for payment processing (Stripe), email delivery (Polsia email proxy), and satellite mapping (Mapbox). These providers have their own privacy policies governing how they handle your data.

Legal requirements: We may disclose your information if required by law, court order, or government request, or if we believe disclosure is necessary to prevent fraud, protect rights, or ensure platform security.

4. Cookies & Analytics

Scopilot uses cookies and similar technologies for the following purposes:

• Authentication: Session cookies to maintain your logged-in state on the contractor dashboard.
• Analytics: The Scopilot platform uses the Polsia analytics system, which may set first-party cookies to measure page views and aggregate user behavior. No personally identifiable information is shared with third-party advertising platforms.
• Tracking pixels: The Polsia analytics beacon (a 1x1 transparent pixel) may fire on page load. This tracks session activity and aggregate metrics — not individual user profiles.

You can control cookie preferences through your browser settings. Disabling cookies may affect the functionality of the contractor dashboard and scoping form.

5. Data Retention

Scopilot retains your data for as long as your account is active or as needed to deliver the services you've requested:

• Lead data (homeowners): Project submissions, photos, contact info, and project details are retained until the associated contractor account is deleted, or until you request deletion.
• Contractor account data: Retained for the duration of your active subscription. Following account deletion, all associated data is deleted within 30 days, subject to any legal retention requirements.
• Analytics data: Aggregate and anonymized usage data may be retained indefinitely for platform improvement purposes.

6. Data Security

Scopilot uses industry-standard encryption (TLS/HTTPS) for all data in transit. Account passwords are stored as hashes using bcrypt. The Scopilot platform is hosted on infrastructure provided by Polsia, which implements security controls including network isolation, access logging, and regular security audits.

While we take reasonable measures to protect your data, no internet transmission or electronic storage system is completely secure. If you have concerns about a security issue, contact us at the address below.

7. Your Rights & Choices

Access and Correction

Contractors can view and update their account information at any time by logging into the contractor dashboard. Homeowners with questions about their data can contact us using the details below.

Deletion

You may request deletion of your account and associated data at any time. We will honor deletion requests within 30 days, except where retention is required by law.

Opt-Out of Analytics

To opt out of non-essential analytics tracking, you can configure your browser to block the Polsia analytics cookie. Note that this does not affect core platform functionality.

8. Children's Privacy

Scopilot is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child's information has been inadvertently collected, contact us immediately.

9. CCPA / GDPR Notice

California Consumers (CCPA): Scopilot does not sell personal information as defined under the California Consumer Privacy Act. You have the right to request disclosure, deletion, and non-discrimination in connection with CCPA rights. To exercise these rights, contact us below.

European Users (GDPR): For users located in the European Economic Area, Scopilot processes personal data on the basis of legitimate interest (delivering lead services) and, where applicable, your consent (account creation). 10. Third-Party Services

Scopilot integrates with the following third-party services, each with their own privacy practices:
